About the Role
We are looking for a highly proactive and resilient Executive Operations Coordinator to support our leadership team in a dynamic, fast-paced environment.
This role goes far beyond traditional administrative work. You will be a trusted right-hand person who takes full ownership of tasks, solves problems quickly, and thrives under pressure. You must be able to work independently and deliver results even in challenging situations.
Important: Candidates must have a permanent right to work in Italy (long-term EU residence permit or Italian citizenship). Willingness to travel for extended periods (several weeks at a time) is essential.
Key Responsibilities
- Manage complex executive schedules, travel arrangements, and high-stakes meetings
- Serve as the main point of coordination across teams and with external partners
- Anticipate needs, solve problems proactively, and handle unexpected situations calmly
- Prepare documents, reports, presentations, and follow up on action items
- Organize logistics for business trips, events, and extended travel periods
- Manage confidential information with the highest level of discretion
- Support operational projects and process improvements
- Thrive in a high-pressure environment while maintaining high standards

- Fluency in English and Italian (both spoken and written)
- Previous experience in a similar support or coordination role is valued, but formal education is not required
