Human Resources Coordinator
Create and maintain filing systems and ensure accurate management of all employee records and files (e.g., interview documents, I-9s), maintaining confidentiality and security at all times. Prepare and distribute office correspondence, manage mail routing, and handle incoming phone calls, including recording messages when necessary. Order and track HR office supplies and forms, and create new employee personnel files. Support walk-in candidates with application procedures and maintain the application area, ensuring it is clean, organized, and accessible to individuals with disabilities. Respond to questions, requests, and concerns from employees and management regarding company and Human Resources programs, policies, and guidelines, and escalate employee relations matters to HR management as appropriate.
Manage all internal communication activities, including TV presentations (GSS for quality) and ongoing updates of HR notice boards across hotel areas. Upload, update, and maintain documentation in MGS (e.g., training certifications, associate data, etc.) and enter training sessions into DLZ. Create training attendance files, maintain the Training Masterfile, and manage the training calendar. Coordinate training logistics and team-building activities, including room bookings, BEO preparation, and follow-ups with managers. Register managers and assistant managers for Marriott/EBIT training programs (e.g., Peak Performance webinars). Manage photography assets (e.g., photos for social media), oversee the archiving process, and perform periodic archive clean-up. Support all internal activities related to training and internal/social communications not explicitly listed above, and contribute to HR projects such as the employee handbook and new parents guide.
Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Report accidents, injuries, and unsafe work conditions to manager. Welcome and acknowledge all guests according to company standards. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards. Enter and locate work-related information using computers and/or point of sale systems. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
PREFERRED QUALIFICATIONS
Education: High school diploma or G.E.D. equivalent.
Related Work Experience: At least 1 year of related work experience.
Supervisory Experience: No supervisory experience.
License or Certification: None
