Obiettivo del ruolo
Sotto la supervisione del Responsabile di turno o del Manager di riferimento, il Red Jacket Coordinator è responsabile di garantire un servizio di eccellenza agli ospiti, assicurando un’accoglienza personalizzata, un’assistenza attenta e proattiva durante gli eventi e supportando la gestione delle esigenze operative dei clienti.
La figura contribuisce alla creazione di un’esperienza positiva per gli ospiti, anticipandone le necessità, gestendo eventuali problematiche e collaborando con i diversi reparti coinvolti nell’organizzazione dell’evento.

Responsabilità principali

Verificare tutti i dettagli relativi all’allestimento delle sale meeting, assicurandosi che gli ambienti siano predisposti secondo gli standard richiesti e pronti ad accogliere gli ospiti.
Partecipare alle riunioni BEO (Banquet Event Order) e ai briefing pre-conference per comprendere le esigenze operative degli eventi in programma.
Supportare l’erogazione di un servizio personalizzato agli ospiti, garantendo attenzione ai dettagli e anticipando le necessità dei clienti.
Sviluppare e mantenere solide relazioni professionali con i referenti dei gruppi, contribuendo al superamento delle loro aspettative.
Ideare e proporre iniziative volte a migliorare l’esperienza degli ospiti e a creare momenti di valore aggiunto per i clienti.
Collaborare alla raccolta e all’analisi delle informazioni utili al termine degli eventi (post-conference), al fine di supportare il miglioramento continuo dei servizi offerti.
Contribuire alla gestione efficace di eventuali imprevisti o irregolarità.
Collaborare con i colleghi e con gli altri reparti per garantire il corretto svolgimento delle attività operative.
Svolgere ulteriori attività assegnate dal proprio responsabile.

Requisiti specifici

Ottime capacità comunicative e relazionali con ospiti, clienti e interlocutori interni ed esterni.
Orientamento al cliente e forte attenzione alla qualità del servizio.
Capacità di gestire situazioni impreviste con professionalità e approccio positivo.
Disponibilità a collaborare con il team e supportare i colleghi nelle attività operative.

Formazione ed esperienza

Diploma o formazione equivalente, preferibilmente in ambito turistico-alberghiero.
Esperienza pregressa in strutture alberghiere di alto livello, nel settore eventi, meeting & conference o customer service.
Esperienza nella gestione del rapporto con ospiti e gruppi.

Competenze tecniche:

Ottima conoscenza del pacchetto Microsoft Office, in particolare Excel, PowerPoint e posta elettronica.
Conoscenza dei sistemi informatici MICROS e OPERA.
Buona capacità di utilizzo degli strumenti digitali e dei sistemi gestionali alberghieri.
Conoscenza della lingua inglese, sia scritta sia parlata, obbligatoria.
Conoscenza del settore F&B è considerata un plus.

Role Objective
Under the supervision of the Shift Supervisor or the designated Manager, the Red Jacket Coordinator is responsible for delivering exceptional guest service by ensuring a personalized welcome, providing attentive and proactive support throughout events, and assisting in the management of guests' operational needs.
This role contributes to creating a memorable guest experience by anticipating guests' needs, resolving any issues that may arise, and collaborating closely with the various departments involved in event operations.

Key Responsibilities

Verify all meeting room setup details, ensuring that event spaces are prepared according to brand standards and are fully ready to welcome guests.
Attend Banquet Event Order (BEO) meetings and pre-conference briefings to understand the operational requirements of scheduled events.
Support the delivery of personalized guest service by paying close attention to detail and anticipating guests' needs.
Develop and maintain strong professional relationships with group contacts, contributing to exceeding client expectations.
Create and propose initiatives aimed at enhancing the guest experience and adding value throughout the event.
Assist in collecting and analyzing post-conference information to support continuous improvement of services and future event planning.
Contribute to the effective management of unexpected situations and service recovery when operational issues arise.
Collaborate with colleagues and other hotel departments to ensure the smooth execution of daily operations.
Perform any other duties assigned by the Manager.

Specific Requirements

Excellent communication and interpersonal skills with guests, clients, and internal and external stakeholders.
Strong guest service orientation and commitment to delivering high-quality service.
Ability to handle unexpected situations professionally while maintaining a positive attitude.
Team-oriented mindset with a willingness to support colleagues in daily operations.

Education & Experience

High school diploma or equivalent; a degree or qualification in Hospitality, Tourism, or a related field is preferred.
Previous experience in a luxury or upscale hotel environment, preferably within Events, Meetings & Conferences, or Guest Services.
Experience managing relationships with guests and group organizers.

Technical Skills

Excellent knowledge of the Microsoft Office Suite, particularly Excel, PowerPoint, and Outlook.
Knowledge of MICROS and OPERA hotel management systems.
Good proficiency with digital tools and hotel property management systems.
Fluent English, both written and spoken, is required.
Knowledge of the F&B industry is considered a plus.
