The Gallery Assistant provides comprehensive administrative, sales, research, and operational support to the Senior Director and gallery. This role plays a key part in facilitating artwork sales, managing client and artist-related documentation, conducting market research, supporting exhibitions, and maintaining the gallery library and research resources.
The successful candidate will be highly organised, detail-oriented, and capable of managing multiple priorities within a fast-paced gallery environment. A strong interest in modern and contemporary art, combined with excellent communication and administrative skills, is essential.
Sales & Business Development Support
- Assist with the sale of artworks from the gallery's global inventory, with a particular focus on exhibition material presented through the Rome gallery.
- Support secondary market consignments and related sales initiatives.
- Collaborate closely with local and international sales teams to support business development opportunities.
- Prepare and distribute artwork offers, ensuring timely follow-up and accurate record keeping.
- Prepare sales presentations, client proposals, exhibition presentations, and project materials.
- Coordinate and maintain contractual documentation, including consignments, loans, agency agreements, and artist-related contracts.
- Conduct market research and analysis to support artwork valuations and sales strategies.
- Provide administrative support to the Director and senior team as required.
- Maintain accurate records and documentation while ensuring confidentiality and professionalism at all times.
Library & Resources
- Maintain the Rome gallery library and associated research resources.
- Oversee cataloguing, organisation, and accessibility of library materials.
- Respond to staff requests regarding library resources, acquisitions, and research materials.
- Research and recommend relevant exhibition catalogues, monographs, and publications to support gallery programmes and artist representation.
- Ensure library records remain accurate and up to date.
Artist Liaison Support
- Assist with communications and coordination between the gallery and artist studios.
- Support artist-related projects, exhibitions, and administrative requirements.
- Help ensure accurate documentation and timely follow-up on artist-related matters.

University qualification in art or art business, or comparable professional experience
- Strong knowledge of art history, with a focus of modern and contemporary art
- Prior professional working experience
- Excellent verbal and written communication skills
- Excellent administrative organizational skills
- Experience in managing varied activities simultaneously, with the ability to effectively prioritise tasks and complete work efficiently and accurately in a deadline-driven environment
