We are seeking an organized and proactive individual to serve as a Relocation and Lending Closet Administrative Assistant. This role is essential in supporting military families during transitions, such as a Permanent Change of Station (PCS), by managing resources that facilitate their integration into the local community.
Key Responsibilities
- Lending Closet Management: Maintain accurate inventory records of household items available for temporary loan, ensuring professional documentation of all items lent and returned
- Customer & Administrative Support: Prepare welcome packets for incoming families and sponsors, set up classrooms for relocation briefings, and maintain class sign-up rosters
- Information Management: Verify and update information on local agencies (locations, hours of operation, etc.) for integration into resource displays and messaging systems
- Monitoring & Reporting: Utilize the Client Tracking System (CTS) to log customer contacts and generate monthly statistics
- Overdue Coordination: Generate weekly overdue reports and contact customers via phone or email to arrange the return or replacement of borrowed items
- Community Integration: Assist in the logistical preparation for weekly or bi-weekly In-Processing (INPROC) and Host Nation Orientation briefings
Qualifications
- Education: Minimum of a High School Diploma
- Experience: At least two years of documented work experience in administrative functions, customer service, and office operations.
- Language Proficiency: English and Italian ability to translate between languages accurately.
- Technical Skills: Proficiency in Microsoft Office Suite and familiarity with Windows-based programs.
