We are looking for an organized and detail-oriented HR Administration Support to join our HR Admin team in Milan.
This is an exciting opportunity for someone passionate about HR operations and employee administration, who enjoys ensuring accuracy, compliance, and smooth execution of people processes.
You will support the HR Administration team across employee lifecycle activities, payroll documentation, health safety compliance, and training coordination, helping maintain an efficient and employee-focused work environment.
The ideal candidate is precise, proactive, highly organized, and comfortable managing multiple administrative processes in a dynamic and fast-paced environment.
What you'll do:
Monitor, track, and verify employee absences through the company HR platform (JetHR), including working schedules, sick leave, medical appointments, maternity leave, leaves of absence, and on-call availability.
Coordinate mandatory Health Safety training activities, ensuring compliance with applicable regulations.
Support the maintenance and verification of Health Safety documentation, including ensuring Risk Assessment Documents (DVR) are properly updated.
Maintain and regularly update employee records to ensure the correct planning and completion of occupational health medical examinations, coordinating with external occupational health providers.
Coordinate apprenticeship training programs, monitor deadlines, and ensure mandatory training requirements are completed on time.
Prepare monthly employee fund reports and supporting documentation.
Manage meal voucher administration and verify their correct allocation to employees.
Support the HR Administration team in the accurate management of payroll and personnel administration documentation, including residence permits, employee records, severance pay (TFR), Law 104 documentation, tax benefits, inbound worker incentives, tax deductions, and other employment-related documents.
Ensure employee data and HR records are accurately maintained and updated across company systems.
Provide administrative support on HR-related projects and day-to-day operations.
What we're looking for:
Previous experience or internship in HR Administration, Personnel Administration or Payroll Support.
Basic knowledge of Italian labor law and HR administrative processes.
Strong attention to detail and high level of accuracy.
Excellent organizational and time management skills.
Ability to manage multiple tasks and deadlines simultaneously.
Comfortable working with HR systems and digital tools.
Proactive attitude and willingness to learn.
Strong communication and collaboration skills.
Excellent Excel skills.
Fluency in Italian and English.
What we offer:
Contract Compensation: fixed-term employment contract (6 or 12 months, CCNL Commercio), with the goal of long-term employment. The expected annual gross salary (RAL) range for this position is between €23,000 and €28,000, depending on experience, skills, and alignment with the role requirements.
