We are looking for a Junior Property and Workplace Assistant who can support the team by acting in line with DLA Piper’s values, with the aim of ensuring an efficient and excellence‑driven working environment.
Main duties and responsibilities
- Oversee and manage the office spaces, ensuring a safe, clean, and functional environment consistently aligned with local and international policies as well as HSE requirements.
- Conduct periodic inspections of the premises in collaboration with the P&W team, reporting corrective actions, issues and/or malfunctions when needed.
- Manage and supervise maintenance activities for the Rome office, ensuring that any issues are resolved promptly in coordination with the P&W team.
- Supervise and monitor the daily meeting room schedule in support of the reception team, including periodic briefings.
- Oversee and monitor the setup and catering of meeting rooms and client areas, reporting corrective actions, issues and/or malfunctions, when necessary, to ensure an optimal client experience.
- Manage activities related to events involving P&W responsibilities, according to business needs.
- Manage preventive maintenance activities, ensuring timely resolution of any issues.
- Support relocation activities and/or the movement of documents, workstations, and furniture in collaboration with the P&W and IT teams.
- Handle the shipment of registered mail at the post office and/or through external services when required, in rotation with the P&W team.
- Collect reports from colleagues regarding issues related to equipment, furniture, and various assets, ensuring subsequent action.
- Provide backup support in case of absences within the P&W team.
- Manage contacts and relationships with suppliers (communications, follow‑ups, periodic meetings) based on specific needs.
- Manage the escalation process in case of issues with existing suppliers, in coordination with the P&W Coordinator.
- Support evaluations for contract renewals, terminations, and replacement and/or onboarding of new suppliers.
- Support the P&W Coordinator in activities related to corporate certifications.
- Provide support in the implementation of international projects involving the team.
- Perform any additional tasks or projects that may be assigned based on areas of responsibility.
About you
- Preferably a degree in Economics, Architecture, or Engineering; previous experience in a similar role, even brief.
- Excellent verbal and written communication skills in both Italian and English.
- Strong dedication to work, even under pressure, and motivation to engage with an international, stimulating, and challenging environment.
- Empathy as a relational skill and a high level of professionalism.
- Proficiency in the Microsoft Office suite.
- Excellent organizational skills and strong attention to detail.
