The role
We are looking for someone who loves working at the operational heart of a company. The person who makes sure payroll runs on time, contracts are airtight, suppliers get paid, and every employee who needs a flight on Monday morning finds the ticket already in their inbox.
This is a hands-on, cross-functional role sitting at the intersection of HR administration, accounting, and employee operations. Payroll and HR administration Own the end-to-end payroll process in coordination with our external labor consultant. Manage attendance tracking, absences, leaves, and overtime. Accuracy and compliance at every step, every month, without exception.
Employment contracts and labor compliance Draft, manage, and archive employment contracts, amendment letters, and termination documentation. Stay current on labor regulations and ensure all documentation is fully compliant. Be the operational point of contact with our labor consultant on complex cases.
Mandatory training and compliance programs Manage all mandatory training obligations (health and safety, privacy, role-specific certifications). Coordinate scheduling, maintain records, and ensure the company is always audit-ready.
Accounting operations Handle day-to-day accounting activities: supplier payments, invoice processing, and bookkeeping. Work alongside our external accountant to maintain clean, up-to-date records. Support month-end and year-end closing activities.
Employee logistics Own the operational layer of business travel: flights, trains, hotels, and any other logistics for the team. Be the go-to person who makes sure every trip is booked correctly, on time, and within policy. Manage travel tools and vendor relationships.
HR systems and records Keep all employee data and documents organized and up to date across HR systems. Own the administrative layer of onboarding and offboarding (documents, equipment coordination, access, benefits enrollment). Keep internal databases and trackers consistently aligned.
Who you are
You have 1-2 years of experience in HR administration, payroll operations, it's a plus if you have a combined HR/accounting experience , ideally in a fast-moving environment where things change quickly and you kept up.
You are precise, organized, and quietly reliable. You do not miss deadlines. You do not let things fall through the cracks. You find real satisfaction in keeping complex operations clean and running smoothly.
You are comfortable working across functions with HR, Finance, and individual employees, and you handle sensitive information with the discretion it deserves. Familiarity with accounting or HR tools is a plus. Fluency in both Italian and English is required.
