✨ About the Role
The Program Assistant is responsible for providing administrative, logistical, and operational support to the program team, ensuring the smooth day-to-day functioning of the center, including managing the front desk as a central point of contact, housing logistics and contributing to the overall student, staff, and stakeholder experience. This is a temporary position, from August 3, 2026 - December 11, 2026.
Key Responsibilities
Housing Operations
- Support issue resolution across multiple housing providers under the supervision of the Housing Manager
- Escalate unresolved maintenance or safety concerns as needed
- Track and ensure resolution of issues (e.g., plumbing, utilities, environmental concerns, safety)
- Assist the Housing Manager with timely vendor response and student follow-up on all reported issues
- Conduct regular housing walkthroughs, inspections, safety checks and maintenance completion checks in housing
- Maintain detailed housing incident logs and documentation
- Other housing-related duties as directed by Housing Manager
Operational & Administrative Support
- Support the Program Administrator in the daily management of the center.
- Assist with coordination of program logistics, including travel arrangements, accommodation bookings, excursions, and cultural activities.
- Perform general administrative tasks and provide operational support across program teams as needed.
- Maintain efficient use of digital tools, especially Google Workspace (Drive, Sheets, Docs, etc.).
- Ensure strict confidentiality when handling sensitive and personal information.
- Other Operational and Administrative duties as directed by the Program Administrator.
Front Desk Operations
- Supporting the front desk as a point of contact for students, staff, and visitors, while also supporting broader operational functions as needed.
Student Success & Program Experience
- Foster a student-centered environment by engaging positively with students and guests.
- Support the creation and distribution of program materials, including orientations, manuals and informational resources.
- Educate students on Code of Responsibility and Housing policies.
- Write incident reports promptly, ensuring clarity, accuracy, and appropriate detail.
- Follow up with students in crisis or confronted for policy violations to provide support.
Additional Operational Support
- Serve in an on-call rotation to address community needs and respond to emergencies according to protocol.
- Provide calm, effective, and professional support in crisis situations.
- Adapt to changing program and team needs as required.
Requirements
- Fluent in Italian with a high level of English proficiency (spoken and written).
- Previous experience in student support, administration, operations coordination, or similar roles desired.
- Strong organizational, time management, and communication skills.
- Proficiency in digital tools, especially Google Workspace, with the ability to quickly learn new systems.
- Ability to remain calm and effective in high-pressure or crisis situations.
- Strong interpersonal skills and commitment to inclusive environments.
- Experience in international education or study abroad programs is a plus.
- Flexibility to work occasional evenings, weekends, and travel as required.
Working Conditions
- Fast-paced work environment with periods requiring extended focus (over 4 hours at a time).
- Frequent out-of-office tasks with exposure to varying conditions (noise, temperature, events, etc.).
- Occasional handling and movement of materials and equipment for events and activities.
Benefits
- Tempo Determinato Contract, regulated CCNL Terziario Commercio.
- 10 euro per working day EDENREN Buoni Pasto.
- Financial compensation for emergency phone rotation.
The candidate must have appropriate citizenship or work authorization in place before the contract starts. Your status must allow you to work full time on an Italian contract. Verto Education does not sponsor visas. Candidates holding a permit “per attesa occupazione” may apply.
