Position Overview
The Data Entry Specialist is responsible for supporting daily back-office operations, with a strong focus on order entry, data accuracy, document management, and coordination between internal teams.
The role requires strong attention to detail, reliability, good organizational skills, and the ability to work efficiently with ERP systems and Excel files. The position plays a key role in ensuring that customer orders are accurately processed, properly documented, and followed up until completion.
Main Responsibilities
- Manage and update order forms, pricing files, customer records, product information, and price lists.
- Ensure accurate order entry and order processing within the company ERP system.
- Verify and control all entered data to ensure accuracy, consistency, and completeness.
- Monitor and follow up orders to ensure timely execution and identify potential delays.
- Coordinate with Commercial, Logistics, Warehouse, and Finance teams to ensure smooth operational alignment.
- Prepare, upload, and archive order confirmations, invoices, and related documents.
- Support invoicing activities and payment tracking in collaboration with the Finance department.
- Handle customer inquiries related to order status, order confirmations, documentation, and basic operational information.
- Identify and report discrepancies, delays, missing information, or operational issues.
- Prepare Excel reports, order follow-up files, and operational summaries for internal use.
- Provide administrative and back-office support to the sales team.
Requirements
- Strong Excel skills (advanced formulas, filters, pivot tables, vlookup)
- High level of accuracy, reliability, and attention to detail
- Ability to work with management systems and ERP platforms
- Good organizational skills and ability to manage priorities
- Written and spoken English
- High school diploma or bachelor’s degree
Work location: Milan
Working hours: 9:00–18:00 (Full-time)
