Job Summary
The Front Office Associate is the first point of contact for clients, guests, and visitors. You are responsible for creating a welcoming and professional atmosphere, managing administrative tasks, and ensuring smooth daily operations at the front desk. The ideal candidate is a proactive problem-solver with excellent communication skills and a passion for customer service.
Key Responsibilities1. Guest & Client Relations
- Greet all visitors warmly, identify their needs, and provide accurate directions or information.
- Register and check-in/check-out guests efficiently and courteously.
- Respond to inquiries in person, via phone, and email regarding services, policies, and general information.
- Handle complaints with professionalism, seeking to resolve issues immediately or escalating to management when necessary.
2. Administrative & Clerical Support
- Manage incoming and outgoing correspondence (mail, email, packages).
- Answer and route phone calls using a multi-line system.
- Schedule appointments, manage conference room bookings, and maintain calendars.
- Prepare and maintain records (guest logs, visitor sign-ins, and daily reports).
3. Financial & Cash Handling
- Process payments, issue invoices, and handle cash/credit card transactions accurately.
- Balance the cash drawer at the end of each shift and prepare deposit slips.
4. Operations & Maintenance
- Coordinate with maintenance and housekeeping to ensure facilities are clean and presentable.
- Monitor security by verifying visitor credentials and following safety protocols.
- Maintain inventory of office supplies and order replacements as needed.
5. Team Collaboration
- Communicate effectively with other departments (e.g., Housekeeping, Sales, HR) to relay guest requests or internal updates.
- Assist with special projects or administrative tasks as assigned.
Qualifications & RequirementsEducation
- High school diploma required; Bachelor’s degree in Hospitality, Business, or related field preferred.
Experience
- 1–2 years of experience in a front desk, receptionist, or customer service role (hospitality experience is a plus).
Skills & Competencies
- Communication: Fluent in English (additional languages are an advantage) with exceptional verbal and written skills.
- Tech Savvy: Proficiency in MS Office (Word, Excel, Outlook) and experience with property management software (e.g., Opera, RoomMaster) or CRM tools.
- Interpersonal: Warm, approachable demeanor with a strong ability to build rapport quickly.
- Problem-Solving: Ability to think on your feet and manage stressful situations with tact.
- Organizational: Strong attention to detail and the ability to multitask in a fast-paced environment.
Physical Requirements
- Ability to stand for extended periods (if applicable).
- Ability to lift up to 20 lbs (luggage/boxes).
