An Operations Assistant supports the day-to-day administrative and operational activities of a business to ensure that processes run efficiently. They work closely with managers and different departments to coordinate tasks, maintain records, prepare reports, and assist with scheduling, logistics, and office operations.
Key Responsibilities
- Provide administrative support to the operations team.
- Maintain and update operational records, databases, and documentation.
- Coordinate schedules, meetings, and appointments.
- Monitor inventory levels and order office or operational supplies when needed.
- Assist with processing invoices, purchase orders, and expense reports.
- Prepare operational reports, spreadsheets, and presentations.
- Communicate with vendors, clients, and internal departments to ensure smooth operations.
- Help coordinate projects and track deadlines.
- Ensure company policies and procedures are followed.
- Perform general office duties such as filing, data entry, and responding to emails and phone calls.
Qualifications
- High school diploma or equivalent; an associate's or bachelor's degree in Business Administration or a related field is an advantage.
- Previous experience in an administrative or operations support role is preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize work in a fast-paced environment.
