Position Overview
An Administrative Assistant (Assistente Amministrativo) provides essential administrative and organizational support to ensure the smooth day-to-day operation of an office or department. This role involves handling office administration, maintaining records, coordinating schedules, assisting with communications, and supporting managers and colleagues with various administrative tasks.
Key Responsibilities
- Answer phone calls, emails, and other business correspondence professionally.
- Schedule appointments, meetings, and manage calendars.
- Prepare, edit, and organize documents, reports, and presentations.
- Maintain accurate filing systems and company records, both digital and paper.
- Assist with data entry, invoicing, expense reports, and basic bookkeeping tasks.
- Order and manage office supplies and equipment.
- Welcome visitors and direct them to the appropriate personnel.
- Coordinate travel arrangements and meeting logistics when required.
- Support HR, finance, or other departments with administrative duties.
- Ensure confidentiality of sensitive company and employee information.
Requirements
- High school diploma or equivalent; a diploma or degree in Business Administration is an advantage.
- Previous experience in an administrative or office support role is preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize work effectively.
- High attention to detail and accuracy.
- Professional attitude and strong customer service skills.
- Knowledge of office procedures and administrative systems.
Preferred Skills
- Experience with office management software or ERP systems.
