An Office Administrator is responsible for ensuring the smooth day-to-day operation of an office by providing administrative and organizational support. This role involves managing office procedures, coordinating schedules, maintaining records, handling correspondence, and supporting staff and management. The Office Administrator helps create an efficient and professional work environment.
Key Responsibilities:
- Manage daily office operations and administrative activities.
- Answer phone calls, emails, and greet visitors professionally.
- Schedule meetings, appointments, and maintain calendars.
- Prepare, organize, and file documents, reports, and records.
- Maintain office supplies and coordinate equipment maintenance.
- Process incoming and outgoing mail and deliveries.
- Assist with data entry, invoicing, and basic bookkeeping tasks.
- Coordinate travel arrangements and meeting logistics when required.
- Support HR with employee records, onboarding, and administrative tasks.
- Ensure office policies and procedures are followed.
- Liaise with vendors, clients, and service providers.
- Perform other administrative duties as assigned.
Requirements:
- High school diploma or equivalent (a diploma or degree in Business Administration is an advantage).
- Previous experience in an administrative or office support role is preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Attention to detail and accuracy.
