An Executive Assistant (Assistente di Direzione) provides high-level administrative and organizational support to senior executives, such as the CEO, Managing Director, or Executive Director. The role is responsible for managing schedules, coordinating meetings, handling confidential information, preparing reports and presentations, and ensuring the smooth day-to-day operation of the executive office. The Executive Assistant acts as a trusted liaison between executives, employees, clients, and external stakeholders.
Key Responsibilities:
- Manage executives' calendars, appointments, and travel arrangements.
- Organize and coordinate meetings, conferences, and business events.
- Prepare correspondence, reports, presentations, and meeting minutes.
- Screen phone calls, emails, and other communications.
- Maintain confidential documents and sensitive company information.
- Coordinate communication between departments and external partners.
- Assist with project coordination and follow up on action items.
- Organize business trips, including flights, accommodation, and itineraries.
- Maintain office records, filing systems, and executive documentation.
- Handle expense reports and administrative tasks.
- Support executives in preparing for meetings and presentations.
- Perform general administrative duties as required.
Required Qualifications:
- High school diploma or bachelor's degree in Business Administration, Management, or a related field.
- Previous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant is preferred.
- Excellent verbal and written communication skills in Italian; English proficiency is often an advantage.
- Strong organizational and time management skills.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and video conferencing tools.
- Ability to manage multiple priorities in a fast-paced environment.
