About the Role
The Engineering Coordination Lead supports the Engineering department in all administrative, organizational, and coordination activities, ensuring efficient operational processes, accurate management of technical documentation, and effective monitoring of maintenance activities, purchasing processes, compliance requirements, and technical authorization archives.
This role acts as a key point of coordination between Engineering and other departments, contributing to the smooth execution of daily operations while maintaining high standards of accuracy, organization, and confidentiality.
What You Will Do
- Manage and maintain technical documentation, maintenance logs, permits, certifications, and departmental archives.
- Coordinate administrative activities related to preventive and corrective maintenance interventions.
- Support the creation, organization, and ongoing management of technical and authorization archives.
- Monitor purchase orders, material requests, supplier documentation, and external contractor agreements.
- Assist in the preparation, tracking, and control of the Engineering department budget.
- Prepare periodic reports related to operational costs, maintenance activities, and departmental performance.
- Organize departmental meetings, prepare meeting minutes, and monitor follow-up actions.
- Manage internal and external correspondence for the Engineering department.
- Support audit processes, certifications, and compliance with health, safety, and regulatory standards.
- Collaborate with Finance, Procurement, Human Resources, and other departments to ensure effective information flow and operational alignment.
- Coordinate calendars, administrative deadlines, and planning activities for the Engineering team.
- Ensure accurate filing and record retention in accordance with company standards and legal requirements.
What You Bring
- Diploma or Bachelor’s Degree in Business Administration, Economics, Engineering, or related fields.
- Minimum 1 year of experience in administrative or coordination roles.
- Previous experience within technical departments, maintenance, hospitality, or facility management environments is considered a strong advantage.
- Excellent knowledge of Microsoft Office Suite, particularly Excel.
- Strong document management and reporting capabilities.
- Familiarity with CMMS (Computerized Maintenance Management Systems) and/or ERP systems.
- Understanding of purchasing procedures and supplier management processes.
- Excellent organizational and planning abilities.
- High level of accuracy and attention to detail.
- Ability to work independently and manage multiple priorities effectively.
- Strong interpersonal and communication skills.
- Proactive approach to problem solving and teamwork.
- Fluent Italian required.
- Good command of spoken and written English.

Schedule & Location
