Job Title: ADMINISTRATIVE SPECIALIST (Protected Categories – art. 1 - L.68/99)

Medov Logistics is a high experienced Logistics provider with a group of professionals based in our offices in Genoa, Hamburg, Singapore and Miami providing Global Logistics Operations & Logistics Project Management to the maritime and cruise industry.
Duties and Responsibilities included but not limited to:
The role is responsible for the pre-invoicing activities related to freight forwarding, warehousing, customs, and dry dock services, as well as for validating supplier invoice payments.
Key responsibilities include:
· Management of Accounts Receivable (Customer Billing)
· Verification of the correct allocation of costs and revenues
- Reviewing the data entered into Magaya shipment files and verifying the information transferred to the invoice generated by the system following shipment settlement by the Operations Department.
- Verifying the supporting documentation attached to shipments by the Operations Department to ensure the appropriate documents are included with the final customer invoice.
- Issuing pre-invoices through the Magaya system.
- Sending pre-invoices, together with the relevant supporting documentation, to the IL Accounting Department for issuance of the final invoice and completion of the active pre-invoicing process.
- Performing final verification and posting of supplier invoices (Accounts Payable).
- Managing Accounts Payable credit note and invoice reversal requests.
- Validating supplier invoice payments in Microsoft Dynamics NAV (Navision).
- Updating costs and supplier invoice references in Magaya.
- Preparing and maintaining internal and customer reports using Magaya, Microsoft Dynamics NAV (Navision), and Microsoft Excel.
Skills & Requirements:
- Previous experience in accounting and/or shipping & logistics operations is preferred.
- High school diploma in Accounting (or equivalent) and/or a Bachelor's degree in Economics, Business Administration, or a related field.
- Excellent command of the English language.
- Excellent knowledge of Microsoft Office, particularly Excel, and Microsoft SharePoint.
- Knowledge of accounting software.
- Strong teamwork skills.
- Good verbal and written communication skills.
- Strong organizational skills and a proactive attitude.
- Willingness to travel abroad for short business trips.
