An Executive Assistant (Assistente di Direzione) provides high-level administrative and organizational support to senior executives, such as the CEO, Managing Director, or Executive Team. This role is essential for ensuring the smooth operation of executive offices by managing schedules, coordinating communications, organizing meetings, and handling confidential information with professionalism and discretion.
Key Responsibilities
- Manage executives' calendars, appointments, and travel arrangements.
- Coordinate meetings, prepare agendas, and take meeting minutes.
- Screen phone calls, emails, and correspondence, responding or redirecting as appropriate.
- Prepare reports, presentations, and business documents.
- Organize business trips, accommodations, and expense reports.
- Maintain confidential records and sensitive company information.
- Liaise with internal departments, clients, and external stakeholders.
- Support project coordination and monitor deadlines.
- Arrange corporate events, conferences, and executive meetings.
- Perform general administrative duties to ensure efficient office operations.
Required Qualifications
- High school diploma; a bachelor's degree in Business Administration or a related field is an advantage.
- Previous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant.
- Excellent written and verbal communication skills in Italian; English proficiency is often preferred.
- Strong organizational and time-management skills.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office productivity tools.
- Ability to multitask and prioritize in a fast-paced environment.
