An Executive Assistant (Assistente di Direzione) provides high-level administrative and organizational support to executives, directors, and senior managers. The role involves managing schedules, coordinating meetings, handling confidential information, preparing documents, and ensuring smooth daily operations for company leadership.
Key Responsibilities:
- Manage executive calendars, appointments, and daily schedules
- Organize meetings, conferences, and business travel arrangements
- Prepare reports, presentations, agendas, and professional documents
- Handle emails, phone calls, and correspondence on behalf of executives
- Coordinate communication between executives, departments, clients, and external partners
- Maintain confidential company and executive information
- Monitor deadlines, projects, and follow-up activities
- Support decision-making by preparing research and summaries
- Organize office operations and administrative processes
- Assist with expense reports, invoices, and administrative records
Requirements:
- Previous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools
- Ability to handle confidential information professionally
- Strong attention to detail and problem-solving skills
- Ability to multitask and work under pressure
- Knowledge of business etiquette and corporate procedures
Preferred Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field
- Experience supporting senior executives or company directors
- Knowledge of scheduling tools, project management software, and office systems
- Fluency in Italian and English (for international companies)
