HSPI is looking for a Front Office & Facility Assistant to join its team.
HSPI gives special consideration to applications from candidates belonging to Protected Categories (Art. 1 – Law 68/99).
The selected candidate will work, according to an agreed schedule, across one or more HSPI offices located in Rome.
Key Responsibilities
Front Office
Welcome guests and visitors, ensuring a professional company image at all times.
Support the organization of company spaces, including meeting room bookings, room setup, and management of related materials.
Maintain the order and appearance of common areas and reception spaces.
Manage incoming and outgoing mail, shipments, and company correspondence.
Facility Management
Plan, manage, and monitor routine and extraordinary maintenance activities related to company facilities and infrastructure.
Manage contracts for maintenance services and monitor supplier performance.
Coordinate and supervise service providers (maintenance, cleaning services, vending machines, etc.).
Ensure compliance with Health, Safety, and Environmental (HSE) regulations in collaboration with the relevant corporate functions.
Support the Compliance department during internal and external audits.
Provide support in resolving day-to-day operational issues.
Mandatory Requirements
Previous experience in similar roles (Front Office, Facility Management, General Services).
Good knowledge of Microsoft Office Suite, particularly Excel.
Experience in managing suppliers, contracts, and related services.
Strong organizational skills and ability to manage priorities effectively.
Preferred Qualifications
Knowledge of occupational health and safety regulations and environmental compliance requirements.
Previous experience supporting audit and compliance activities.

The contract offered for this position is a fixed-term contract, with a gross annual salary ranging between €24,000 and €28,000.
The job classification and salary level will be determined during the selection process, based on the candidate’s profile and in accordance with the National Collective Bargaining Agreement for the Commerce Sector (CCNL Commercio).
