Condé Nast Italy is seeking a highly organized and detail-oriented Sales Assistant to join the local Advertising Department. Based in the Milan HQ, this role will support the activities of the team managing complex administrative workflows and serving as a critical liaison between senior leadership, commercial teams, and external stakeholders. The ideal candidate will combine technical precision in data management with the professional presence required to assist in direct client engagements.
Support the cross-checking of revenue data, including the management of over-commissions
Assist in organizing commercial meetings and client "upfronts," including the management of event invitation lists and the preparation of presentation materials
Schedule and arrange client meetings, manage complex business travel arrangements (flights, trains, and hotels) through travel agencies and process expense reports
Create and process insertion order contracts for advertising campaigns, facilitate billing discrepancies and maintain updated distribution lists
Provide email-based assistance for commercial contracts, ensuring accurate transmission of information
Conduct initial reviews of contracts from a legal perspective before transferring them to the relevant sales agents
Monitor the costs of the department and conciliate the related data along with the Finance team
Submit forms for Public Administration client portals, including the compilation of call for tender (“Bando di concorso”) documents and financial flow declarations (“Dichiarazione dei flussi finanziari”)
Coordinate the collection and submission of essential corporate documents, including Chamber of Commerce certificates (“Visura camerale”), DURC, bank details, and anti-corruption declarations
Respond to client inquiries regarding legal and financial matters, such as financial statements (“Bilancio”), staff certifications, codes of ethics, and special authorizations
Take full ownership of the labor network ( "Rete lavoro") portals, prioritizing interventions and updates to ensure continuous compliance and operational functionality
Provide email-based assistance for commercial contracts, ensuring accurate transmission of information
Conduct initial reviews of contracts from a legal perspective before transferring them to the relevant sales agents
2+ years of experience in a Sales Assistant, Executive Assistant, or a similar role focused on coordination and administrative compliance
Full professional proficiency in both Italian and English, both written and spoken
Familiarity with documentation required for public tenders and corporate compliance (DURC, Visura, etc.) is a significant advantage
Proven ability to multitask and manage competing priorities, such as urgent portal updates, in a fast-paced environment
Excellent command of IT tools, particularly Excel and management software; experience with GSuite (Sheets, Docs, Slides) is highly preferred
Strong relational skills with a natural ability to interface effectively with clients and external interlocutors
Proven formality and ability to handle direct client interaction and high-level meetings
Salary Range
The position is expected to be classified at the 3rd level under the “Graphic - Editorial” Collective Bargaining Agreement, with an annual gross salary ranging from €34,175 to €44,700, in addition to a comprehensive employee benefits package.
