Job Summary:
We are seeking a highly organized and detail-oriented Office Clerk to join our administrative team. The ideal candidate will be the backbone of our daily operations, ensuring that clerical tasks are completed efficiently and accurately. This role requires excellent communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- General Administration: Answer and direct phone calls, greet visitors, and manage the general email inbox.
- Data Entry: Accurately input and update data into company databases and spreadsheets (e.g., CRM, Excel).
- Filing & Organization: Maintain physical and digital filing systems; ensure documents are stored securely and are easily retrievable.
- Document Preparation: Draft, format, and proofread correspondence, reports, and presentations.
- Mail Handling: Sort and distribute incoming mail; prepare outgoing mail and packages (courier services).
- Supply Management: Monitor office supply inventory and place orders when necessary.
- Scheduling: Assist in scheduling appointments, meetings, and travel arrangements for staff.
- Customer Service: Provide general support to visitors and clients, addressing inquiries or directing them to the appropriate department.
- Financial Clerical: (Optional) Process basic invoices, expense reports, or petty cash reconciliation.
Qualifications & Requirements:
- Education: High School Diploma or equivalent required; Associate’s degree in Business Administration preferred.
- Experience: 1–2 years of experience in an administrative or clerical role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace; experience with database management is a plus.
- Typing Speed: Minimum 45 WPM with high accuracy.
